Local Funds

• All reimbursements are subject to department head or designee approval.

• Car rental can be rented from any rental car company.

• Rental can be for any size vehicle without an explanation.

• Loss Damage Waiver (LDW) insurance may be purchase to cover any damage to the vehicle during the rental period. This is the only insurance that is reimbursable.

• Second renter charges are only reimbursable for another state employee.

 

State Funds

• Contract car rental vendors Advantage Rent-A-Car, Avis Rent a Car System, Inc., and Enterprise Rent-A-Car.
  Avis is not a contract vendor for one-way rental.

• The contract rates are effective till March 31, 2009.

• Contract must be used unless there is a valid exception.

• Contract includes Loss Damage Waiver (LDW) at no extra charge.

• Rentals are allowed up to a Full Size vehicle. A statement must be included on the voucher as to why any other type of vehicle was needed to conduct official business.

• Most rentals include unlimited miles.

• The State of Texas contract car rentals are effective from 3/31/04 to 3/31/09 with Advantage Rent-A-Car, Avis Rent A Car System, Inc., and Enterprise Rent-A-Car.

• In most cases the contract car rentals include Loss Damage Waiver (LDW) at no additional cost. This insurance will cover any damage to the vehicle.

• With all three-contract car vendors the state employee MUST give the assigned state agency identifier number in order to obtain the state-contracted rate.

• Contract car rentals can be booked though a travel agent, directly with the car rental company or on-line.
